Entity-Level View Filtering for Team Members

Control which clients each team member can see across all modules
What's new
Practice owners and admins can now restrict which clients individual team members can access. This filtering is comprehensive - it applies across 16 different data views in the application.
What gets filtered
When a team member doesn't have access to a client:
- Tasks: The client's tasks don't appear on the workboard or in task lists
- Documents: Meeting notes, portfolio shifts, snapshots, and wealth paths are hidden
- Recordings: Conversation transcripts for that client are not visible
- Client list: The client doesn't appear in the CRM sidebar or search results
Cascade hiding
The filtering cascades automatically. If you can't see a client, you also can't see any of their associated content - there's no way to accidentally stumble upon hidden data through tasks, documents, or recordings.
Multi-entity documents
For documents linked to multiple clients (like a meeting note involving two households), the document is visible if you have access to at least one of the linked clients.
Practice-level items
Tasks and documents not tied to a specific client (practice-level items) remain visible to everyone, ensuring general practice work isn't blocked.
Who this applies to
- Owners and Admins: See all clients (no filtering)
- Members and Viewers: See only clients they've been explicitly granted access to
Where to find it
- Go to Portal → Settings → Team
- Click on a team member with the Member or Viewer role
- Configure their entity access in the permissions section
